The Umbria Collection: Website Terms

1. Who we are

The Umbria Collection creates small-group journeys through Umbria, Italy, built around shared passions, including but not limited to pickleball, board games, running, walking ancient pilgrim paths, and the hands-on traditions of the region, from ceramics and truffle hunting to long winery lunches.

We do this in partnership with independent operators and local hosts. Together we support Umbrian artisans, share the region’s culture and table, and give every guest room to learn something new.

2. How The Umbria Collection works

We dream up the weeks and introduce you to the operators who run them. You browse experiences and request bookings or information through us; the trip itself is operated by an independent travel operator, as described below.

3. Independent operators and your booking agreement

Each Umbria Collection experience is operated by an independent travel operator, identified to you before you book. Before you pay anything, you will receive that operator’s booking agreement for your specific experience. That agreement contains the terms governing your trip, including payment, cancellation, refunds, itinerary changes, participation requirements, and other trip-specific matters.

Your booking contract is with the operator, not with The Umbria Collection, unless expressly stated otherwise. The operator is responsible for trip operations and for the obligations described in its booking agreement.

Deposit amounts, payment schedules, cancellation and refund terms, and transfer options vary by operator and by trip. Those details live in the booking agreement you’ll receive before you pay anything. Curious about a particular week before deciding? Just ask us.

By requesting a booking through this site, you acknowledge that (a) your week will be operated by an independent operator identified to you before you pay, (b) you will be asked to accept that operator’s booking agreement and sign its activity waivers as a condition of participation, and (c) The Umbria Collection’s role is limited to brand, marketing, curation, and connecting you with the operator.

4. What you read here

We work hard to describe every week accurately, but this website provides general information about The Umbria Collection and our role. It is not the trip contract; the operator’s booking agreement is. If a detail on the site ever conflicts with your booking agreement on a trip matter, the booking agreement governs, subject to applicable law.

5. Itineraries and availability

Itineraries shown here are intended to give an overview of the experience. They may change based on availability, local conditions, weather, or other circumstances. Your confirmed itinerary, and the terms governing any changes to it, will be provided by your operator.

Our weeks are small by design, and availability shown on the site is not guaranteed until your booking is confirmed.

6. Our role and third-party services

The Umbria Collection’s role is:

  • marketing and presenting Collection experiences;

  • curating and designing the experiences;

  • connecting guests with independent operators.

The trips themselves depend on independent third parties we do not control: operators, hotels, restaurants, transportation providers, guides, activity providers, and other local suppliers. We choose our partners carefully, but we don’t run their day-to-day operations.

7. Your responsibilities

A few things we ask of every guest:

  • Give us accurate information when you book, and tell us about accessibility, dietary, or other special requirements before booking so we can pass them along (see section 10).

  • Judge whether a week’s physical level fits you, and follow safety instructions from your operator, guides, and hosts.

  • Treat fellow guests, hosts, and local partners with respect.

Some of our weeks are active by design, and the physical level varies by week. On the active ones, expect long days on your feet and real physical exertion. Outdoor activities carry inherent risks, including uneven terrain, weather, and distance from medical care. You participate at your own risk. The operator’s booking agreement and any activity waivers set out the full requirements and releases for your trip.

Bringing someone with you. Your spouse, partner, or family are always welcome as full participants. Joining as a tag-along, sharing your room and joining meals and excursions while skipping the hosted sessions at a reduced rate, depends on the week: vans, tours, and venues have real capacity limits. If you’d like to bring someone in that way, reach out and ask about your specific week.

8. Where our responsibility ends

To the extent permitted by applicable law, The Umbria Collection’s liability is limited to its own role: the marketing, curation, and design of Collection experiences and the operation of this website. We are not liable for the acts or omissions of independent operators, hotels, restaurants, transportation providers, guides, activity providers, or other suppliers, or for events beyond our reasonable control.

Nothing in these terms limits liability that cannot be limited under applicable law, including liability for our own gross negligence or willful misconduct. Saying the operator is responsible for the trip does not erase every responsibility we may have under the law for our own role.

9. Travel documents and insurance

You’re responsible for having the travel documents your trip requires: a valid passport, visas, and any entry authorizations. Check requirements well before departure.

We strongly recommend travel insurance appropriate to your trip. Any specific insurance requirements for your week will be in your operator’s booking agreement.

10. Accessibility and special requirements

Please tell us about accessibility, dietary, or other special requirements before you book, and we’ll pass them along to your operator. Whether a particular requirement can be accommodated depends on the operator and the local providers, so ask us about your specific week early.

11. Privacy and photos

We collect and use personal information as needed to operate this website, respond to inquiries, and arrange and administer Collection experiences. Our website may also use cookies or similar technologies to help it function and improve the experience.

During Collection experiences, we or our partners may photograph or film the trip for editorial, promotional, and marketing purposes. We will make reasonable efforts to let guests know when photography or filming is taking place and to respect reasonable requests not to be photographed.

We do not sell your personal information.

12. Governing law and disputes

These Website Terms cover your relationship with The Umbria Collection and your use of this website. They are governed by the laws of the State of Texas, without limiting any mandatory consumer protections available to you under the laws of your country or state of residence. If a dispute arises about these terms or the website, contact us first so we can try to resolve it together.

Disputes about your trip itself are governed by your operator’s booking agreement.

13. Changes to these terms

We may update these terms as The Umbria Collection grows. Material changes will be posted here, and your continued use of the website after changes are posted means you accept them.
